Introduction

There are two parts to setting up the event.

1. Create the course that will be used for the event (attendance and certificate, etc).

2. Add the Event to the Calendar and link to the course.

  1. Go to https://www.ecboces.org Log in with your ECBOCES username and password.

    • Click on the Add An Event Course button.

  2. Select what features the event will/will not have and click on the Use as Template button. On the second page, select PD from the drop down list and click on Continue. On the Course Settings Page, add the Event Title under Course Name. For the short name I just do the abbreviated month and year and part of the title.  This is just a code for Moodle and should be fairly short with no spaces.  It has be a unique number. Then click on Continue.

    • WE DECIDED THAT WE WOULD PUT THE DATE AT THE BEGINNING OF THE COURSE NAME!

  3. You will now find yourself in the new course/event.

    • On the course page, we now need to add the event contact, set up the attendance, the evaluation and the certificate.

    • Start by clicking on the turn editing on icon to put the course in edit mode.

    • Clicking on the Course Management icon will open up the management links.

  4. Click on the Course Management Icon at the top of the page. Click on Edit Course Settings. End the Event Start and End Dates and Time. (You might have to check the Enable box to enter the End Date/Time)

    • Fill in the Course summary with the date, time, location and description of the event.

    • CHECK THAT THE COURSE VISIBILITY IS SET TO SHOW

    • Scroll to the bottom of the page and click on Save and Display.

    • This will automatically add the event to the calendar so make sure that everything (title/date/description) is correct on this page.

    • If you want to add a flyer to the event, add it to the Summary File section on this page.

  5. Click on the Course Management Icon again. This time click on Participants. Click on the Enroll Users button.   Search for the person that is the contact for the event in the first box and click on their name.
    • Click on the Course Management Icon again.

    • This time click on Participants.

    • Click on the Enroll Users button. Search for the person that is the contact for the event in the first box and click on their name.

    • Select Event Contact from the Assign roles dropdown. Do NOT select anything from the Cohort section. Click on Enroll selected users and cohorts.

  6. You can skip this step if you do not need to cap enrollment. Click on the Course management icon and this time click on Enrollment Methods. Click on the Cog Icon by Registration(ECBOCES District Member)

    • Click on the Cog Icon by Registration(ECBOCES District Member)

    • Scroll down to the bottom part of the page and ONLY change the Max Enrolled Users to the number you need. Click on Save Changes.

  7. Go back to the Main Course page (click on the Event title in the breadcrumb) and scroll down the page to the Event Resources section. (Click on the heading to expand this section if needed.) You will need to change the date and time that the Evaluation form opens. Click on the Edit Link and then select Edit Settings.

    • Click on the Edit Link and then select Edit Settings.

    • Scroll to the bottom of the page and click on Restrict Access (NOT Availibility). Adjust the time as necessary and then click on Save and Return to Course. You should now see the new time listed on the course page.

  8. Back on the Course Page, click on Attendance (not the Edit Button, just the actual Attendance link!) Click on the Add Session Tab Fill out ONLY the date, the start time and the length of the session. With this module, you need to start it at the event start time. It will not allow you to start it before the event starts.

    • Scroll the bottom and click on Add.

    • Verify that the time and date looks correct and then click on the Course Name to get back to the main page.

    • You might need to click on the Sessions tab to see the newly created session. Click on the Key Icon to see the generated password.

  9. Back on the main page, scroll down to the Certificate section and click on the link to Continuing Education Certificate (NOT the Edit link). On the page that loads, click on the Cog Icon in the top right corner and click on Edit Certificate. Without changing anything else, scroll to the bottom of the page and select the correct number of hours from the drop down list, then click on Load.
    • Back on the main page, scroll down to the Certificate section and click on the link to Continuing Education Certificate (NOT the Edit link).

    • On the page that loads, click on the Cog Icon in the top right corner and click on Edit Certificate.

    • Without changing anything else, scroll to the bottom of the page and select the correct number of hours from the drop down list, then click on Load.

  10. On the next page, click on Continue When the Edit Certificate page loads again, scroll down and click on Save and Preview
    • On the next page, click on Continue

    • When the Edit Certificate page loads again, scroll down and click on Save and Preview

    • This will then download a copy of the certificate and you can check it looks ok and is correct. (The preview will not have the correct date - if you want to see it with the correct date, go back to main page, click on the Continuing Ed Certificate link and then click on Download Certificate.)

  11. If there are any resources or flyers to add to the course, you can drag them to the relevant place on the page to upload them.

    • Sharon likes event flyers at the top of the page but all other resources should go in the resources section.

  12. Return to the main course page by clicking on the name of the course in the breadcrumb. There might be sections/questions that are not needed for this particular event.  You can hide those. If you do not need a count of who is attending in person or via Zoom, hide this question by clicking on Hide from the Edit menu.

    • If this is an event with no Zoom connection, you can hide the whole section by selecting the Hide section link from the edit menu by the section heading.

    • You will see Hidden from students by any activity or section that is hidden.

  13. Click on the Hamburger menu icon to expand the left hand menu.  Click on Calendar. Check that the event is showing correctly on the calendar.
